On 10 September 2026 SaldeoSMART ran a one hour webinar on document workflow. It was hosted by Miłosz Knapczyk and Adam Niewiedzioł from the vendor's team. For anyone who missed the sign up or could not watch, we pulled the attendee survey numbers and added what they mean for the implementations we run ourselves.
The vendor asked attendees about the single biggest problem with document workflow at their company. The most common answer, at 48.6%, was a long wait for a document to be approved. In second place, at 37.8%, attendees named not knowing which stage a document was at. The third problem, at 29.7%, was a document reaching the wrong person or department.
Asked about the benefit of tidying up their workflow, 64.9% of attendees named better control over documents as the main reason it is worth doing at all. The figures come from the vendor's recap post of the webinar; the article does not say how many people answered the survey. Questions that did not fit into the hour were answered separately in the vendor's Help Centre, alongside their document workflow setup guide.
These three problems match what we see in our own implementations. A long wait for approval almost always comes down to the same thing: the document is waiting on one specific person, and nothing in the system flags that they are on leave or travelling. Not knowing the stage, at a good number of the companies we work with, is a side effect of workflow still living in email rather than in a system, and an inbox cannot be searched by document status. The third problem, the wrong person, usually means the approval path was set once, at the start of the rollout, and nobody has touched it since, even as the company grew or its structure changed.
So with clients we do not start by switching workflow on. We start by writing down who approves which kind of document and who stands in when they are away. Only then do we move that into document workflow in SaldeoSMART, together with stand ins and deadlines. Switching the system on without that groundwork just moves where the waiting happens, not why it happens, so we advise against it as a first step.
