Working with clients: the end of “did you get it?” e-mails

Most of the correspondence between an accounting firm and its client isn't about accounting. It's about what's missing. That can move to one place.

What it does

A client of the accounting firm gets an account of their own: they upload documents through a browser or the mobile app, see what has already arrived and what has been posted, answer the firm's questions on the document itself and issue their own sales invoices, if that is what you agree between you.

Under SMARTduet a client can also buy credits themselves and spend them on their own documents, which is handy when one client has far more paperwork than the rest.

The client gets a ready monthly summary with amounts due and a Pay button. (Polish interface) SaldeoSMART material
Once a client hits the document limit, the system suggests contacting the accounting firm right away. (Polish interface) SaldeoSMART material
The firm's client Uploads documents
  • through a browser
  • as a photo from the mobile app
  • sees what has already arrived
On the document Question and answer
  • “what was this spend for?”
  • the answer stays with the invoice
The firm Missing items without e-mail
  • a list of what is missing for the month
  • the reminder goes out by itself
Documents, questions and missing items in one place instead of an inbox and a handful of sticky notes.

Why this matters more than it looks

Conversations about missing documents can eat more time in an accounting firm than the coding does. A question asked on the document stays with it, so three months later you see the invoice and, with it, the answer that sits behind it.

Worth knowing up front

This feature works exactly as far as the firm's clients use it. Software won't sort that out. What sorts it out is the way the firm introduces it to clients and how quickly it stops taking documents by the old route. That's implementation work, and we take that part on ourselves: we prepare the material for the firm's clients and help through the first few months.

What we set up

Client logins and permissions, how much of the account they see, the way documents are delivered, notifications about missing items, and the mobile app for the people photographing receipts out on the road.

This one only works once the firm's clients really use it, and that's a matter of implementation, not of software. We'll gladly tell you how we get it going in other firms.

The person who runs the demo is the one who later does the implementation and stays with you for ongoing support. Prefer to call? 513 805 506
