Invoice change history: who changed what and when

SaldeoSMART has added a change history for invoices: who changed what and when, before the document goes out to a client or to KSeF, Poland's National e-Invoicing System. For an accounting firm where a bookkeeper and someone on the client's side both work on the same invoice, that puts an end to guessing which version is the current one.

SaldeoSMART has added a change history for invoices: who changed what and when, before the document goes out to a client or to KSeF, Poland's National e-Invoicing System. What the invoice history logs

The feature covers sales invoices, with one exception: pro forma invoices do not get a history. The vendor lists specific events that get recorded: issuing the invoice, with a note on whether the accounting firm or the firm's own client did it, changing the description, changing the quantity on a line item with automatic recalculation of net, gross and VAT amounts, adding a new line item, changing the payment method, and detaching a bank account.

The source of issuing is logged too: the web panel or the mobile app. That detail matters mostly when the same person issues some invoices from a phone on the road and others from a desktop at the office, and someone later needs to work out where a given version was created.

Pro formas are left out of the history. That makes sense: a pro forma is not an accounting document and does not go to KSeF, so tracking who changed what on it does not carry the same weight as on an actual invoice. The vendor also points to a Help Centre article on change history on document details, which suggests a similar log works more broadly than just sales invoices, though the source article does not spell out exactly which other document types are covered.

Who this matters to: several people on one account

The vendor aims this at accounting firms and companies where more than one person works on invoices. That is exactly the scenario we see most often: the client issues an invoice themselves, the bookkeeper fixes a line item or a payment method, and a week later nobody remembers which change was last or whether anyone made it at all.

The history does not replace a conversation with the client, but it shortens it. Instead of digging through e-mails, the firm opens one invoice and sees a chain of dated events.

What this changes for our clients

For firms that run several clients on one SaldeoSMART account, the invoice history becomes the first thing to check before a document goes to KSeF: it shows whether anyone changed something after issuing, and whether the VAT recalculation after a quantity change came out right. One honest caveat: the history shows what changed, it does not police who is actually allowed to change an invoice. Edit permissions still need setting up separately, in the account settings, and that is something we check at every implementation with more than one person on the client's side.

In practice that means: when we set up an account for a firm with several clients, we first decide who can issue and who can only view, and only then present the history as a day to day check. Done the other way round, it is easy to assume the history alone is enough protection, and it is not.
